Working with the File Manager

The following is an overview of the File Manager toolbar icons and an orientation to the areas of this module.

The File Manager consists of the following areas:

  1. Folder Management Toolbar: this toolbar manages folders within the File Manager. The toolbar provides the following tools:
    1. Add Folder
    2. Delete Folder
    3. Synchronize Folder
  2. File Manager Toolbar: this toolbar manages files within the File Manager. The toolbar provides the following tools:
    1. Refresh Files
    2. Copy Files
    3. Move Files
    4. Upload Files
    5. Delete Files
    6. Search Files
  3. Folder List: Displays all file folders in a tree structure. Use this area to view the files in each folder and to select folders as instructed. Add and Delete Folders using the toolbar.
  4. File List: Displays an alphabetical list of the files within the selected Folder. Use the File Display (5) tools to access files not displayed. E.g. When the folder contains more files than appear on one page. This section provides tools to:
  5. Edit File including file name, read only attributes, hidden, archiving and indexing.
    1. Delete File
    2. Select All Files or Deselect All Files
    3. Select File
    4. Unzip Compressed Files
  6. File Display: Provides navigation and file display tools. The following options are provided:
  7. Page [Page Number] of [Number of Pages]: enables the user to scroll through files when there are more items than displayed on one page. E.g. Page 1 of 5.
    1. Items Per Page: Modify the number of Items (files) displayed on the page. This is set to ten (10) by default and will return to ten (10) when the page is refreshed.
  8. Security Settings: Manages security role access to View Folder and/or to Write to Folder (e.g. upload images). This section is only available on the Admin File Manager.

File Manager – Working with Folders

Navigating Directory Structure

The directory structure navigation operates in a similar manner to Microsoft's Windows Explorer.Clicking on a folder name in the left hand side will display the files located in the directory on the right hand side of the module.
* To expand a directory structure, click the Maximize button beside the minimized folder name.
* To minimize a directory structure, click the Minimize button beside the expanded folder name.

Add a new folder to the file manager.

  1. Navigate to Admin > File Manager.
  2. Navigate to the Folder to create the new folder under.
  3. Click on the Folder to select. E.g. Root
  4. At Folders, select one of the following options:
    1. Insecure - File System
    2. Secure - File System
    3. Secure - Database
  5. Enter the Folder's name in the text box to the left. E.g. Subfolder.
  6. Click the Add Folder button.

Delete Folder

Deletes a folder from the Site File Manager. All files and child folders within the folder must be removed before the folder can be deleted.

  1. Navigate to Admin > File Manager.
  2. Navigate to the required Folder.
  3. Click on the Folder Name to select it for deletion. E.g. Subfolder
  4. Click the Delete Folder button.
  5. Click OK to confirm deletion.

Synchronize Folders

Synchronize the files with one or more folders of the File Manager with the database. This retrieves any new files uploaded using the file manager which are not displayed in the folder.

  1. Navigate to Admin > File Manager.
  2. Select the folder to be synchronized.
  3. At Recursive (optional), check to also synchronize child folders.
  4. Click Synchronize Folder.

Assign Folder Permissions (Admin Only)

Assign permissions by security role to write files to a folder and/or view files within a folder. This setting is only available on the Admin file manager.

  1. Navigate to Admin > File Manager.
  2. Click on the folder that you would like to assign permissions to.
  3. Go to the Security Settings section below. The current permission settings will be displayed.
  4. As Permissions, perform the following:
    1. At Filter By Group (optional), select from the following options
      1. View all roles (both global and group roles) in one single list.
      2. View roles that not within a Group.
      3. Each Group will be listed individually. Select a group to view roles within that group.
  5. In the View Folder column, check the check box beside each role to be granted permission to view files.
  6. In the Write to Folder column, check the check box beside each role to be granted permission to upload files.
  7. Click Update.

Refresh Files

Refresh the files within the selected folder. This will refresh the file information from the database.

Remove Folder Permissions

Removes permissions by security role to write files to a folder and/or view files within a folder.

  1. Navigate to Admin > File Manager.
  2. Click on the folder that you would like to assign permissions to.
  3. Go to the Security Settings section below. The current permission settings will be displayed.
  4. As Permissions, perform one or both of the following:
    1. In the View Files column, uncheck the check box beside each role to have their permission to view files removed.
    2. In the Write to Folder column, uncheck the check box beside each role to have their permission to upload files removed.
  5. Click Update.

File Manager – Working with Files

Naming Images

Use only alpha-numerical characters when naming images. These can be either lower or upper case. You may use an underscore ( _ ), or a hyphen (-) between characters. A space can be left between characters, however this is not recommended. For example, the following naming conventions are permitted:
* image1.jpg
* image-1.jpg
* image_1.jpg
* image 1.jpg
The following characters cannot be used in images names, to do so will cause a Server Error in the Free Text Box used in the Text/HTML module:
~ ! @ # $ % ^ & * ( ) + = ‘ { } | ] [ ” : ; ‘ ? > < , /
Failure to adhere to the correct naming convention will result in a script error when using the Insert Image tool in the Rich Text Editor on the Text/HTML module.

File Listing

By default the file manager only displays 10 files in its interface. On the bottom right of the file manager is the option to modify the number of files displayed. By changing the value in this drop down list, the file manager can display up to 50 files per page. If there are more files in the current directory than can be displayed, paging controls will appear above the file listing option. The following options are available:
  • Move First: Displays the first page of files.
  • Move Previous: Displays the previous page of files.
  • Move Next: Displays the next page of files.
  • Move Last: Displays the last page of files.

Selecting Files

A major part of using the File Manager is through the use of selecting files to perform an operation on. In selecting files there are a four options, select/deselect an individual file and select/deselect all files.
  • To select an individual file, check the check box to the right of the file.
  • To deselect an individual file, uncheck the check box to the right of the file.
  • To select all files, check the check box located in the title bar of the File Listing window.
  • To deselect all files, uncheck the check box located in the title bar of the File Listing window.

Search Files

The option to search for files enables the Administrators to quickly find a file in the currently selected folder. Note that only the file name and extension are searched.
  1. Navigate to Admin > File Manager.
  2. Select the folder to search in.
  3. Enter the search information in the modules top left text box (next to the Search Icon)
  4. Click the Filter button.

Reorder Files

Reorder all files in a folder by file name, date or size.
  1. Navigate to the Admin > File Manager.
  2. In the File List window, click on one of the linked Titles. E.g. File Name, Date or Size.

Refresh Files

Refresh the files within the selected folder. This will refresh the file information from the database.
  1. Click Refresh to refresh files.

Copy Files

Enables the Administrator to replicate the currently selected files into another folder.
  1. Navigate to Admin > File Manager.
  2. Navigate to the Folder containing the files to be copied.
  3. Select the files to be copied.
  4. Click Copy Files. A dialog box stating "Copy Checked Files?" would be displayed.
  5. Click the OK button. A list of the files to be copied will be displayed.
  6. Select the Folder to copy the files using the folders list. The name of the selected folder will be displayed. You are able to reselect a different folder at this step if required.
  7. Click the Ok button.

Move Files

Move selected files from one folder to another.
  1. Navigate to Admin > File Manager.
  2. Check the checkbox beside the files to be moved.
  3. Click the Move Files button. A dialog box reading 'Move Checked Files' will be displayed.
  4. Click the OK button. A list of the files to be moved will be displayed.
  5. Select the Folder to move the files using the folders list. The name of the selected folder will be displayed. You are able to reselect a different folder at this step if required.
  6. Click the Ok button.

Upload Single File

File Upload allows Administrators to upload files for use in , via a web interface. Content Files are those which are can be viewed or linked to in modules such as Links, Documents and Text/HTML.
  1. Navigate to Admin > File Manager.
  2. Click the Upload button.
  3. Click the Browse button and select a file.
  4. Select the folder to upload the file to or select PortalRoot to upload to the base directory.
  5. Click Upload New File.

Upload Multiple Files

Upload multiple files to the site. Files must be zipped (compressed) on your computer before you begin this tutorial.
  1. Navigate to Admin > File Manager.
  2. Click the Upload button.
  3. Click the Browse button and select a file.
  4. Select the Folder to upload the files to, or select Portal Root to upload to the base directory.
  5. At Decompress ZIP Files? (optional), check the check box to decompress the files while uploading them. This will add both the ZIP file and all the individual files to the selected directory. Alternatively, you can unzip the files later.
  6. Click Upload New File.

Decompress Files

Decompressing a file can be achieved by clicking the Decompress file option of a file.
  1. Navigate to Admin > File Manager.
  2. Navigate to and select the Folder containing the file to be decompressed.
  3. Click the Decompress File button beside the file to be decompressed.
  4. Click the OK button. A dialog box confirming 'UnZip Selected Files To: [DirectoryFolder]' will be displayed.
  5. Click the OK button.
  6. In the Folder List, select the Folder to unzip the file to.
  7. Click the OK button to confirm.

Download A File

Download a file can be achieved by clicking the file name of a file.
  1. Navigate to Admin > File Manager.
  2. Navigate to and select the folder containing the file to be downloaded.
  3. Click the File Name of the file to download.
  4. Click the Save button.
  5. Navigate to the location on your computer where the file will be saved.
  6. Click Save to save the file.

Delete A File

Enables the Administrator to delete a file. Where a file is set as Read Only, it cannot be deleted until the Read Only setting is removed.
  1. Navigate to Admin > File Manager.
  2. Navigate to and select the folder containing the file to be deleted.
  3. Click the Delete File button beside the file to be deleted. A dialog box asking 'Are You Sure You Wish to Delete The File [ FileName ]' will be displayed.
  4. Click OK to confirm deletion.

Delete Multiple Files

Deletes multiple files.
  1. Navigate to Admin > File Manager.
  2. Navigate to and select the Folder containing the files to be deleted.
  3. Check the check box beside each of the files to be deleted.
  4. Click the Delete Files button.
  5. Click OK to confirm deletion.

Rename a File

Renaming a file can be achieved by clicking the rename file option of a file.
  1. Navigate to Admin > File Manager.
  2. Click the Rename File button beside the file to be renamed.
  3. In the File Name field, enter the new name for the file.
  4. The following File Attributes fields will now be available, select one or more options to apply to the file as required:
    1. R Check Box: Check to make file read only.
    2. Check Box: Check to make file hidden.
    3. S Check Box: Check to disable hidden option in file properties (Windows).
    4. A Check Box: Check to allows file to be archived by the operating system.
  5. Click the Save Changes button to save your changes.

Remove File Read Only Attribute

Read Only files cannot be deleted from the File List without first removing the Read Only attribute. Attempting to delete the file will result in an Error message.
  1. Navigate to Admin > File Manager.
  2. Click the Rename File button beside the file.
  3. Uncheck the File Attributes check box labelled R:
  4. Click the Save Changes button to save your changes.

Set a File as Hidden

Sets a file as hidden. Hidden files will not be available to display in the portal and will not display as a vendor banner, or in the Rich Text Editor Gallery.
  1. Navigate to Admin > File Manager.
  2. Locate the required file.
  3. Click the Rename File button beside the file.
  4. Check the File Attributes check box labelled H:
  5. Click the Save Changes button to save your changes. The selected File Attributes will now be displayed for the file and will include the letter H to indicate it is Hidden.

Set Archiving And Indexing For A File

Set the archiving and indexing properties of a file.
  1. Navigate to Admin > File Manager.
  2. Locate the required file.
  3. Click the Rename File button beside the file.
  4. The following File Attributes fields will now be available, select one or both options:
    1. S Check Box: Check to disable hidden option in file properties (Windows). For fast searching, allow Indexing Service to index this file.
    2. A Check Box: Check to allow file to be archived by the operating system.
  5. Click the Save Changes button to save your changes.

Set File As Read Only

Read Only files cannot be deleted from the File List without first removing the Read Only attribute. Attempting to delete the file will result in an Error message.
  1. Navigate to Admin > File Manager.
  2. Locate the required file.
  3. Click the Rename File button beside the file.
  4. Check the File Attributes check box labelled R:
  5. Click the Save Changes button to save your changes. The selected File Attributes will now be displayed for the file and will include the letter R to indicate it is Read Only.
