Tryout Programs- Division Building


As discussed earlier, first you must build a Program and then create Divisions underneath each program. For example, 2011 Fall Select Soccer would be the Program and U16 Boys or 9th Grade Boys would be the Division. The age, gender, start/end date, price and registration open/close dates, among other things, are all determined in the Division settings.

Steps to create a division:

  1. Go to Admin>>Divisions>>Edit Divisions
  2. Scroll over the pencil next to “Divisions” and click “Add New Division” 
  3. Name your Division 
  4. Select the appropriate program type this division will fall under 
  5. Use the drop box to select the program you want the division to fall under. 
  6. Select the start and end date of the division. Start and End Date refers to your playing season
  7. Select if the division is male/female/coed 
  8. Enter the price (It is not necessary to add a dollar sign or decimal point i.e. 100 is sufficient) 
  9. Enter the minimum and maximum age 

    ***This is extremely important. A parent will not see a division that the participant’s age range does not fall within. We recommend expanding the dates and allowing the parents to select between divisions that are close to the age of the participant. USYSA date ranges are most commonly used for soccer clubs and you should enter Aug 1 for the max age and July 31 for min age. If you register by grade we recommend expanding the dates allowing parents to select the appropriate grade.***
  10. Enter when the registration is to open/close. The open/close times occur at 12:01am EST on the day listed (So if May 15 2006 is to be the last day of registration, the close date should read May 16 2006). 
  11. Choose if you will accept a deposit. If you select yes, the screen will refresh and you can enter the deposit amount you will accept. The parent will then, at the checkout screen, have the option to pay the full amount or the deposit amount. 

    **Parents can pay open balances at any time by logging into the account and making a payment to an order**
  12. Under Fees & Discounts enter the tryout amount (only if this is a tryout program). If you do not wish to charge a tryout fee, you must enter 0 in this field. 
  13. The early bird is deducted from the price of the division on the checkout screen, if a player is registered prior to the Early Bird Deadline (Once again the discount will end at 12:01am on the date listed). 
  14. Late fee is added to the order item total i.e. the price of the division on the checkout screen, if a player is registered after the Late Fee Deadline (Once again the fee will begin at 12:01am on the date listed). 
  15. Click Create 

Steps to edit a division:

  1. Go to Admin>>Divisions>>Edit Divisions
  2. Click the pencil next to the division you wish to edit. 
  3. Make any necessary adjustments. 
  4. Click Update
